Document Vault Terms/Disclaimer

Version 1.0Effective Date:September 3, 2026

These KlassMatch Document Vault Terms/Disclaimer (the Vault Terms) govern use of the KlassMatch Document Vault. In these Vault Terms, KlassMatch, we, us, and our mean KlassMatch. The Document Vault is available to Providers on Professional or Enterprise plans and is a storage and controlled-sharing feature that allows eligible Providers to upload documents and make selected documents available to recipients they authorize.

1. Provider-Supplied Materials; No KlassMatch Verification

Vault documents are supplied by Providers. KlassMatch does not independently review, approve, validate, verify, authenticate, certify, endorse, or guarantee uploaded Vault documents or any claims represented by them.

A document’s presence in the Document Vault does not establish that a Provider is licensed, insured, background checked, approved, compliant, qualified, safe, or otherwise suitable. Vault documents are not evidence of KlassMatch Verified status, badge eligibility, ranking, approval, certification, or endorsement.

2. Provider Responsibilities

Each Provider is responsible for:

  • the accuracy, completeness, legality, and appropriateness of documents the Provider uploads;
  • having all authority, permissions, and rights needed to possess, upload, and share the documents;
  • selecting appropriate recipients for each share;
  • selecting appropriate expiration and access settings available through the current functionality;
  • keeping documents reasonably current;
  • revoking access when it is no longer appropriate; and
  • complying with laws and contractual, confidentiality, and privacy obligations that apply to the documents and their disclosure.

3. Recipient Responsibilities

Recipients, including Organizations, are responsible for independently reviewing Vault documents and determining whether they satisfy the recipient’s own requirements. When appropriate, recipients should independently confirm information with the Provider, issuer, insurer, licensing authority, background-check provider, or another applicable source.

4. Sensitive and Prohibited Content

Providers should not use ordinary Document Vault functionality to upload unnecessary child or student records, medical or health records, Social Security numbers, payment-card or bank-account credentials, passwords, authentication secrets, security credentials, unnecessary government identification, unlawful or malicious files, infringing material, or information the Provider lacks authority to possess or disclose.

KlassMatch does not represent that it scans every file for malware or verifies file contents. We may restrict, quarantine, remove, or disable access to files where reasonably necessary for security, legal compliance, platform integrity, or protection of users.

5. Controlled Share Links

Document Vault sharing uses controlled links or tokens. A recipient with a valid share link may be able to access the documents included in that share until the link expires or is revoked.

Share links must be protected and should not be forwarded to unauthorized people. Providers remain responsible for selecting recipients and revoking access when appropriate.

A “view only” presentation cannot guarantee that a recipient will be technically unable to save, screenshot, photograph, reproduce, or otherwise capture information displayed on the recipient’s device.

6. Expiration and Revocation

Providers can establish expiration and revoke active shares according to the current Document Vault functionality. Expiration or revocation prevents future authorized access through that share, but cannot retrieve copies already lawfully downloaded, saved, captured, or otherwise obtained by a recipient.

7. Account Deletion and Retention

A Provider account-deletion request revokes active Vault shares according to the current functionality. At final deletion, KlassMatch handles Vault files and related metadata under its account-deletion and retention lifecycle.

KlassMatch does not promise instantaneous destruction of materials from every backup or system. We may retain information where reasonably necessary for security, legal compliance, dispute resolution, enforcement, audit, or other lawful purposes.

8. Security

KlassMatch uses reasonable safeguards designed to protect Vault materials, but cannot guarantee absolute security. Share links are the current access mechanism; a valid link may permit access without recipient-email authentication.

9. Relationship to Other Terms

These Vault Terms should be read with the KlassMatch Terms of Service, Privacy Policy, Provider Terms, and other applicable KlassMatch policies. If applicable law provides a right that cannot be waived by these Vault Terms, that law controls.
